Privacy policy
Effective October 5, 2026
This policy explains how E Squared C Inc ("E2C", "we", "us") collects, uses and protects information in E2C Quote Portal (the "Application"), available at quotes.e2c.tech. The Application is an internal business tool used by E2C staff and by our customers when they review quotes.
Information we collect
From our customers and their contacts
- Business name, contact names, email addresses, phone numbers and addresses, taken from our own customer records (our professional services automation system).
- Quote details: products, services, quantities and prices.
- When you review a quote: your approval or rejection, the name you type as your signature, the time, and the IP address and browser used.
From QuickBooks Online (Intuit)
When an authorized E2C administrator connects the Application to E2C's own QuickBooks Online company, the Application accesses, using the com.intuit.quickbooks.accounting scope only:
- Customer, vendor and item (product/service) lists, to match quote records to QuickBooks records;
- Estimates and purchase orders that the Application creates, and the purchase order numbers needed for sequential numbering;
- Basic company information (company name and ID), to confirm the correct company is connected.
The Application does not access bank feeds, payroll, banking credentials or payment card data.
From staff users
- Name, username and email address; security key public-key credentials (never private keys); sign-in times and IP addresses for security auditing.
From distributors
- Product pricing and availability returned by distributor APIs, using E2C's own distributor accounts.
How we use information
- To prepare, deliver and track quotes, and to record customer approvals;
- To create estimates and purchase orders in E2C's QuickBooks Online company;
- To order products our customers have approved;
- To secure the Application, prevent misuse and keep an audit trail.
Quote drafting may use an AI language model that E2C hosts on its own servers. It receives only the job description written by our staff and data from our product catalog, so that it can suggest line items. Customer names, contact details and QuickBooks data are not sent to it. All of its output is reviewed by a person before a quote is sent, and no data is shared with an outside AI provider.
What we don't do
- We do not sell or rent personal information or QuickBooks data.
- We do not use QuickBooks data for advertising or marketing profiling.
- We do not share QuickBooks data with third parties, except as required by law or as described here.
Service providers
Information is processed only as needed to run the Application by: Intuit (QuickBooks Online); Microsoft (Microsoft 365 email delivery); our technology distributors (pricing and ordering); and Kaseya (BMS, our customer records system). AI-assisted drafting runs on E2C's own infrastructure. The Application is hosted on servers operated and controlled by E2C in the United States.
Security
- Encryption in transit (HTTPS/TLS) for all connections, with HSTS;
- Encryption at rest for OAuth tokens and API credentials, with keys held separately from the database;
- Phishing-resistant multi-factor authentication (FIDO2 security keys) for all staff;
- Network access restrictions on the staff portal, automatic blocking of repeated failed sign-ins, and audit logging;
- Customer quote links are long, random, single-purpose and expiring.
Retention and deletion
Quotes and approvals are kept for as long as needed for business and legal record-keeping (generally seven years). If the QuickBooks connection is revoked, stored QuickBooks tokens are deleted immediately. Data copied from QuickBooks to match records is deleted or refreshed on the next sync. Security logs are kept for one year. To ask about or request deletion of your information, contact us at the address below.
Your choices
You can ask to access, correct or delete personal information we hold about you, subject to our legal record-keeping obligations. California residents may have additional rights under the CCPA/CPRA, and we will honor verified requests.
Children
The Application is a business tool. It is not directed to children, and we don't knowingly collect information from children.
Changes
If we change this policy, we'll update the effective date above. Material changes will be communicated to affected customers.
